This policy covers the Learner Connect mobile app and the service behind it (our API and our AI counselling service). It applies to students and prospective students ("leads") who create an account.

We do not collect your precise location, your contacts, your photo library, or any advertising identifier, and the app contains no advertising or cross-app-tracking software.
We do not sell your personal data, and we do not use it for third-party advertising or cross-app tracking.
Answers marked as AI are generated by software. They can be wrong or out of date, and they are not immigration, legal, or financial advice.
To answer your question, we send your conversation to an external large-language-model provider, along with context about your journey — the stage you are at, and the courses and universities you are considering or have applied to.
We do not send your name, email address, phone number or date of birth. These are removed automatically before your message leaves our systems.
Automated removal is thorough but cannot be guaranteed perfect: if you type a direct identifier into the middle of a message, it may travel with that message. We do not ask the provider to identify you, we do not send anything that links the conversation back to your account, and the provider is bound by contract not to use what it receives for its own purposes or to train its models.
Who these providers are. We route requests to whichever model is best suited, so more than one provider may be involved over time. We currently use, or may use:
Where a model is used through Microsoft Azure, your data is processed by Microsoft under its terms and does not go to the organisation that originally built the model.
The rule we apply when choosing a model. We only use models that do not retain your data and do not train on it. Where we route through OpenRouter, its account controls are set to refuse any endpoint that stores or trains on what we send, so a model that fails that test cannot be reached rather than being used quietly. If a provider changes its terms so that it no longer meets this rule, we stop using it.
These providers receive only the de-identified conversation described above. Your uploaded documents are sent only to Google, never to the others. Each provider acts as our processor and is bound by its own published terms for business use; you can read those terms on each provider's website. We keep this list current — if you want to know which providers are in use at a given moment, ask the Grievance Officer.
When a document you upload needs to be read — to check a passport or a transcript — the file is sent to Google's Gemini API. We use Google's paid service, under which Google's own terms state that it does not use your prompts or files, explicitly including documents, to improve its products; that it retains them only briefly to detect abuse and meet legal obligations; and that it acts as a data processor under Google's Data Processing Addendum. Google cannot use your documents for its own purposes or to train its models.
You can report any AI answer from inside the chat and a person reviews it.
Your data is stored on Amazon Web Services infrastructure in the United States (us-east-1). If you are in India, this means your personal data is transferred outside India for storage and processing; we rely on the transfer permissions of the Digital Personal Data Protection Act, 2023 and on our contracts with processors.
Everything is encrypted in transit with TLS. Documents you upload are stored in Amazon S3 with server-side encryption at rest. Your Learner Connect account password is stored only as a secure hash and is never held in readable form; where we hold credentials for a university application portal or an applicant email account on your behalf, we hold them solely for that purpose and never display them in the app. Session tokens are held in your device's secure storage and are removed when you sign out. Access to your data inside the company is role-scoped, so staff see only what their role requires.
While your account is active, we keep your data for as long as you use the service.
When you delete your account — in the app under Profile, or on the web at learnerconnect.ai/account/delete — your account is deactivated immediately and your data is permanently deleted after a 30-day grace window, by an automated job. The grace window exists so an accidental or disputed deletion can be reversed.
We keep records we are required by law to keep, such as financial and tax records, for the period the law requires, even after your account is deleted. Those records are kept only for that purpose.
You must be 18 or older to create an account, and the signup flow refuses a date of birth under 18. If we learn that an account belongs to someone under 18, we will delete it.
We intend to serve younger students in future. Before we do, we will add the verifiable parental-consent step the Digital Personal Data Protection Act, 2023 requires, and this policy will be updated to describe exactly how it works.
